How many computers can I back up?

There is no limit to the number of computers you can backup with your KeepVault account. Install and activate the KeepVault software on as many computers as you want using your original username and serial number. KeepVault will recognize each computer and back it up separately from the other computers. You simply purchase the total online storage that you need.

KeepVault Pro accounts can choose to create subusers within their account. Sub user accounts receive their own usernames and serial numbers to be installed on their devices.

What size files does can KeepVault support?

KeepVault will support individual file sizes from 1byte to 200GBs.

Are my files secure? What are the KeepVault encryption standards?

For maximum security KeepVault encrypts your files before they leave your PC. KeepVault Home uses 128-bit AES encryption while KeepVault Pro uses military grade 256-bit AES encryption. Further, you have the option of specifying your own personal encryption key during initial setup which virtually limits anybody from viewing your personal data.

KeepVault and viruses

The KeepVault servers only store file data and never execute any portion of the data that is uploaded to our online servers. Hence if a virus exists within a file prior to upload, then it will be contained within that file only and will never be propagated to other files on the KeepVault online servers. Note that we recommend running anti-virus software on all your computers to guard against viruses. If you happen upload a file with a virus then that file will contain the virus during download but your anti-virus software should catch and quarantine the file.

Default vs custom encryption key

KeepVault, by default, will automatically set a unique encryption key when you create your account. This is recommended for most users but there is an option to set your own custom key during the install of the software. Warning: Make sure you save your personal custom encryption key. If lost, your encryption key is NOT recoverable. If you lose the key then you will NOT be able to decrypt your files and they will be useless.

How long will it take to upload or download my data?

While KeepVault does not throttle bandwidth, a number of factors determine the amount of time required to upload or download your data to and from the KeepVault online servers. Client bandwidth speeds, latency, file sizes, encryption, compression and the number of files you are processing will all factor into the time required to complete your loads.

Generally, users will experience much quicker downloads than uploads. The initial upload of your files my take quite some time.

Why is my online storage usage different than the actual size of the data set that I backed up?

KeepVault optionally allows you to compress your data, effectively increasing your online storage capacity. KeepVault Pro will also keep multiple versions of modified files. Both of these actions will make your online storage usage different than what you may expect from the size of your raw data.

The storage counter that you see in your application is "real-time" but if you delete a number of files it can take some time to process. Deletions usually happen in a matter of seconds but if you had a large number of files in can take a few minutes for the usage counter to reflect what you expect that it should be.

How are outlook, sql, exchange and other “busy” files handled? Is there a work around?

KeepVault does not backup busy files due to their inherently volatile nature. This avoids invalid/corrupt data being protected. However, the automatic retry capabilities of KeepVault mean that busy files will be retried until they are no longer busy. If you wish to protect your PC image backup files then you should schedule KeepVault Backup and Windows Backup to run at separate times.

Initial Install process

Installing and activating KeepVault is as easy as one, two, and three:

  • Purchase a KeepVault account or sign up for a free 15 day trial account. Save the confirmation email you will receive from KeepVault because it contains your serial number.
  • Download and execute the KeepVault software at http://www.keepvault.com/download. It will ask you to enter your user name and serial number which identifies your account. KeepVault will, by default, assign a unique encryption key to your account or allow you to set your own custom key. If you set your own key, do not lose it! You will be unable to access your data if you lose your custom encryption key.
  • KeepVault will then walk you through the initial setup. You can accept the default settings or you can choose which files you want to backup and whether to backup in continuous real time or on a scheduled basis.

Setting up online protection

If you accept the default settings, KeepVault will backup all files in the home directory tree of the operating system, e.g., the C:\Users folder in Windows 7, the C:\Documents and Settings folder in Windows Vista and XP. This protects all documents, photos, music, videos and data files for all users. It does not backup the application software - the executable program files - which reside in different folders on the computer. It backs up the output files created by the application software.

You can modify the settings to limit backup to specific file types ... photos, music, video or documents. KeepVault recognizes the file category by the extension suffix at the end of the file name. It knows the meaning of all commonly used extensions. You can edit the file categories or add a new extension suffix to a category. If you add a new extension suffix, enter only the new three digit extension - not the dot - in the input box. Click Add and OK.

You can select or deselect whether to backup hidden/system files. Many users don’t need to back up hidden/system files. To make this choice in the initial setup be sure to click the “show advanced settings when I am done” button you will see on the last setup page. Then deselect “backup hidden/system files” when you see it. Click OK.

You can modify the settings to change or select additional folders for backup. To de-select a folder, first de-select the parent folder and then select only those sub folders that you want protected. Select OK in order to save the changes and allow KeepVault to resume backup protection. KeepVault may need some time to remove files from the pending list before resuming backup protection.

Setting up local protection

KeepVault recommends that you utilize this free feature and back up your files to an internal or external drive connected to your computer. Choose the local drive by selecting “Protect” and selecting the drive from the drop down pick list. KeepVault Pro users can also use a network attached drive for local backup.

What happens now?

After initial setup is complete KeepVault immediately starts backing up your files to the KeepVault online servers and to any local backup device you have specified. All files are encrypted via AES encryption protocols prior to transmission over the internet. The initial backup may take a quite some time to complete processing.

Taskbar Icon

The KeepVault user interface (the application control panel) will be visible on your screen. Close it by clicking the top right corner “X” box. This does not stop the KeepVault program; it only closes the user interface. KeepVault continues to run, backing up your files. You can access the user interface at any time in the hidden icons section of the task bar. By default, KeepVault automatically starts up again every time the computer is rebooted. You can fully exit the program from within the tray icon.

  • Review or upgrade your account
  • Upgrade to KeepVault Pro

How do I remove a retired device or entire data set?

Once logged in at keepvault.com/login you will find a “Devices” tab. On this tab you can see the log reports for each subuser and device under your account. If you would like to delete an entire device’s data from your online storage account you can click the delete button next to each devices name. WARNING: if you delete a device, that devices data will be deleted from your online storage account and those files will no longer be able to be retrieved.

Protected Files and Folders - should you protect hidden/system files?

Click this option if you would like KeepVault to protect hidden or system files that are located within directories that you protect. Most users do not need to protect these types of files.

Local Backup - Configuring your local backup

Enable local protection checking to “protect my files to a hard drive, removable drive, or network drive” and select it’s path. Encryption and compression is optionally available by checking those boxes.

Advanced - Choosing your protection frequency (real-time or scheduled)

KeepVault allows you to either protect your data in real-time or scheduled your backups daily.

Advanced - Limiting KeepVault's bandwidth usage

You can limit Keepvault’s bandwidth usage from 2Kb/s to unlimited by using the slider.

Advanced - Proxy Servers

Enter your proxy server’s address and port in the software here. Questions regarding your Proxy Server’s configuration should go to your system administrator.

Messaging - Email Settings

KeepVault allows you to customize if and how error messages are sent to you. You can configure KeepVault to send error messages via an email address. Test your choices by clicking the “test selected notifications” button at the bottom of this tab

Messaging - SMS Settings

You can configure KeepVault to send error messages via SMS. Enter your number with the appropriate domain (see keepvault.com/sms) and confirm the setting by clicking “test selected notifications” at the bottom of this tab.

Administrator - Locking KeepVault to require a password to view/modify settings

KeepVault Pro provides an additional control feature. The administrator can lock the application on each client machine. Once locked, any user must enter a password to view or modify the KeepVault settings on that machine.

The KeepVault Add-in is installed but does not appear on my Dashboard

When using an add-in on the Windows Server lineup sometimes an add-in will become disabled, which results in it not being displayed at the top of your dashboard. In order to enable the KeepVault add-in after it has been disable start your server in Safe Mode. This can be done from your server by clicking on the start menu, then "All Programs", then your operating system i.e. "Windows Storage Server 2008 R2", a finally clicking "Dashboard (Safe Mode)". After doing this it is likely that Windows will ask you to re-enable the add-in and KeepVault will reappear.

Restoring your files

You can restore files from either the KeepVault online servers or from your own local backup location. Restoring from your local backup will be faster in most cases.

If your computer is still up and running, open the KeepVault software and then:

  • Click on the Restore tab.

  • Choose Online or Local.

One Click recovery

One click recovery will restore all accidentally deleted or missing files but will not overwrite any existing files.

Selective recovery

Selective recovery allows you to choose specific files, uploaded from your device, that you want to restore with the option of overwriting existing files.

Selective download (cross-machine download, online only)

Cross-device restore allows you to download files to a different computer than the one they were backed up from.

To do a complete restore: (for the same operating system as your previous device)

  1. Set up your new Windows computer
  2. Install KeepVault, you can find the latest version here: www.keepvault.com/download
  3. Enter your subscription username and serial number
  4. KeepVault will ask you if you want to reconnect to and existing KeepVault device. Choose the device you want to restore.
  5. Once the rebuild of your device is complete, open KeepVault and select "Restore" and restore from your online account.
  6. Select "One-click Recovery" option and press the "Recover" button.
  7. KeepVault will restore all files back to your system

Note: If you used an external hard drive for local KeepVault backup without encryption or data compression you can connect it directly to any working PC for quick access to your files via Windows Explorer. Your files will be on the external hard drive in a directory named KeepVault in the same tree structure as your crashed computer. If you used an internal hard drive for local backup you might be able to re-install it in a different machine.

Why might it take a long time to actually start your download? KeepVault says it’s “Calculating”.

KeepVault needs to build a database of all the files you are downloading prior to starting the download. If you are downloading a large number of files from online, building that database may take a some time. Using the selective download or recovery processes to narrow down the number of files you need can expidiate your recovery of critical files or folders. Note: With web access enabled, individual files are always available on web.keepvault.com.

What is the KeepVault Pro version policy?

KeepVault Pro is designed to keep all of your uploaded versions for 48 hours and at last five versions of each file after that.

How do I access older versions of files?

Each version of a file can be individually downloaded via the KeepVault application or via web.keepvault.com. Within the software right click on a file via selective download console. Versions of each file will be displayed by doing this. On web.keepvault.com simply find the file you are looking for and click on it to see uploaded versions.

Enabling Web Access

KeepVault Anywhere Access is available to all KeepVault users. With Anywhere Access you can download your files at any time from any internet enabled device including smartphones. Anywhere and anytime.

  • First, you must enable Web Access using your KeepVault online console.
  • Login at https://www.keepvault.com/login
  • Go to the Users tab.
  • Click "choose action", then "add web access" for each account and sub account you wish to turn on web access for.
  • Enter the encryption key and a friendly web access password for each account and sub account. (This password can also be used to login to keepvault.com.)
  • That’s it! You can now access your KeepVault online files at https://web.keepvault.com from any internet enabled device. Anywhere and anytime.

Logging in to web access

Once your web access has been enabled you can view and access your files by either going to http://web.keepvault.com or by launching that window by clicking the "open now" next to each enabled user on your web access tab.

Changing your web access password

To change your web access password, toggle off your web access on your users tab. By re-enabling your access you can enter a new password.

How do I create a sub user?

The ability to create and manage sub user accounts is one of the most powerful KeepVault features. You may wish to set up sub user accounts for particular employees or departments. You can monitor and manage the backup health of those computers from the convenience of the online account controls. To create sub user account:

  1. Go to the bottom of the sub user tab on your online account controls.
  2. Enter the name to be used for the new sub user account
  3. Choose the storage size to be allocated
  4. Click Create

KeepVault will display a user name and serial number for that sub user account. Use that user name and serial number when prompted for login credentials when you install KeepVault on the sub user computer. Specify the backup settings on the sub user computer in the normal manner during the KeepVault setup process.

How do I administrate a sub user?

After sub user accounts are created and installed, they and can be monitored and adjusted by the administrator from their the online account controls. The status of each account and sub account, amount of storage used and last file stored are accessed from the General tab. Changing the allocated storage size, sub user names or deleting sub users is performed on the Sub User tab.

How do I install KeepVault on a sub user's device?

KeepVault will display a user name and serial number for that sub user account. Use that user name and serial number when prompted for login credential when you install KeepVault on the sub user computer. Specify the backup settings on the sub user computer in the normal manner during the KeepVault setup process.

How do I turn on administrator reports?

KeepVault Pro users can choose to have Daily Administrator reports sent to them by logging onto: http://keepvault.com/login and going to the “settings” tab. Enter in your business contact email, then check the daily status reports button and click the "save changes" button to save your preferences.

Network Backup

This feature allows you to protect files to your local network drive while also being able to upload files to the KeepVault online servers.

From the desktop application, click the Settings tab near the top of the interface and the click the "Local Backup" tab. Then select the "Protect my files to a hard drive, removable drive or network drive".

When selecting a destination from the drop down menu choose, "Add a network drive..." which will bring up a network drive dialog box. Within this box you can enter the valid network path, user name and password for your network drive and then click OK to start protecting your files to a local network drive.

If you would like to use the KeepVault Connector in order to sync files over the internet (versus over your local network) you will need to configure your routers open ports.

There are 3 ports to open on your router and the screenshot below shows you how this will look when complete:

2.Once you log in, locate the settings page that allows you to configure port forwarding (e.g. Applications & Gaming | Port Range Forward)
3.Forward the following three ports to the IP address of your Windows Home Server. Note, you can locate the IP address of your Windows Home Server from a Remote Desktop session | run cmd.exe | ipconfig.exe:

Installing the KeepVault Connector on Server 2012 Essentials

To install the Connector on Server 2012 Essentials, you need to first install .NET Framework 3.5 on your server. To do this, follow these directions.

  1. Remote into your server. To access your server from a remote computer, you can use the "Remote Desktop" application. On a Windows 7 computer, click "Start" > "Run" and type "mstsc" and click "mstsc".

  2. Type the name of the server that you want to remote into.

  3. Move your mouse to the top-right corner of the screen to open up the Charms bar.

  4. Select "Search"

  5. Type "manage" into the search textbox and click on the "Server Manager" app to open the Server Manager.

  6. In the top-right of the Server Manager window, click "Manage" > "Add Roles and Features"

Remote assistance via TeamViewer

In some cases we find that we can provide the best support by remote assistance via TeamViewer. In these cases the KeepVault support staff will supply you with a link to our TeamViewer application, which you should download and click “RUN” instead of install. At that point you will be provided a password, which you can give to the KeepVault engineer helping you so that we can remote into your device and trouble shoot your problem.

How do I send my logs to support?

In some support cases we will ask to see your KeepVault logs; these created automatically and will be located in the KeepVault/engine/support folder. This is located in the c:\program files(x86)\authentec , c:\program files(x86)\proxure or in the latest software c:\program files(x86)\keepvault folder. Please zip up all the files prior to sending them. You may need to stop the KeepVault service in order to do this. This can be achieved via ctrl+alt+del (task manager) and closing the kvserver.exe service in the "processes" tab.

For the desktop software, download and run the latest software from http://www.keepvault.com/download. The installer should prompt you to un-install any previous versions of KeepVault and close any open KeepVault services and files. After doing this KeepVault will ask you if you would like to remember your credentials - choose "YES". KeepVault 4.20 should then install as expected.

Note for those upgrading the desktop version of KeepVault: be sure to verify that from the Setting tab the value for "Hidden/System files" is set correctly as you would like. By default, version 4.20 will unselect the "Hidden/System files" option even if it was checked previously.

For the KeepVault Dashboard Add-in, please remove the currently installed KeepVault add-in from your dashboard via the add-in manager. Then download and run the correct KeepVault .wssx file for your OS from http://www.keepvault.com/download.

To preform a clean installation of KeepVault:

  • Uninstall the desktop application from your Control Panel (choose "NO" to not save your credentials when asked) or remove the add-in from your add-in manager (then close you dashboard).

  • Delete the c:/Programs Files/Proxure AND/OR the Authentec/KeepVault AND/OR KeepVault directory from your programs files directory, on 64 bit systems look in the program files (x86) directory.

  • Delete or move any previous KeepVault local backup destination folder.

  • Make sure you are installing the appropriate KeepVault installer for your OS. The latest software can be found here: http://www.keepvault.com/download.

  • When prompted, create a new device instead of reconnecting and then enter your current credentials.

How to recover when Windows PC fails

How would I recover if I had a complete Windows PC failure?

If a disaster occurs such as a loss of the Windows PC then you would perform the following steps to restore your lost files and rebuild your keepvault file catalog:

  1. Setup your new Windows hardware, re-install the Windows operating system
  2. Install KeepVault
  3. Enter your subscription email and serial number (IMPORTANT: ensure you use the same encryption password used during the original installation. KeepVault will warn you if it cannot verify your encryption password. If you elected to use the default encryption key then your encryption password will be rebuilt using your personal account information and your existing keepvault store.)
  4. KeepVault will now rebuild the file database for each backup source (i.e. online and local) it finds
  5. Once rebuild is complete, open KeepVault and select "Restore" and restore from your online account.
  6. Select "One-click Recovery" option and press the "Recover" button or optionally, if you have some of your files protected locally, and you only need to restore a sub-set of your files from the KeepVault store then you can select the “Selective Recovery” option and select only those files you need to recover.
  7. KeepVault will restore all files back to your system

Note, if you're in a pinch and you need to quickly access your files and don't have time to purchase/setup your new Windows hardware then you can remove the local hard drive used to store your local KeepVault backup and connect it directly to a PC for quick access via Windows Explorer, to recover your files.

Protection has stopped, but how do I find out why?

When protection has stopped an event is added to the event log and this event will provide additional information on the reason why protection has stopped. On your PC, click the History tab located on the main screen:

Under the Application Events tab in History, at the end of the Message column you will see a vertical column bar, circled below:

Next, place your cursor over this vertical column bar and the cursor will change to a black vertical line with arrows pointing left and right. Once you see the cursor change, double click your left mouse button and the horizontal scroll bar will appear to allow you to see the entire Error/Message:

I have a new WHS or Rebuilt my existing WHS. How do I restore my data from my online storage account?

Install KeepVault for WHS on your new server and when you see the below screen, select the second option I want to reconnect to an existing KeepVault Backup for Windows Home Server backup:

From the screen above, select the backup set you would like to reconnect to (aka, select the backup set you would like to restore files from).

When you select the backup set and select Next, the next screen that will appear is the rebuilding screen:

Once the rebuild is complete (time varies and depends on the amount of files you have) you will see the Main KeepVault screen:

From the Main KeepVault screen above, click the link called Recover Files and the following restore screen will appear:

You can either restore all files from your backup set, by selecting One-click Recovery. Or you can use Selective Recovery in order to pick the files you want to recover.

The Selective Download feature shown above is only available with the Professional version of KeepVault. Selective Download allows you to restore files from any backup set located on your storage account. With the Standard version of KeepVault, this option will be replaced with an upgrade link. If you upgrade, simply uninstall and then reinstall KeepVault Backup from the WHS Console.

How can I de-select a single file from being protected?

KeepVault will not protect hidden files or files within hidden folders. If you have a single file you wish to not protect that is within a Share that you do wish to protect then simply set the file as hidden as follows:

  1. Open Explorer to the Share you want to protect. Locate the file that you do not want to protect, right-click, select Properties, select Hidden, select OK
  2. Open KeepVault and select the Share for protection
  3. Once KeepVault has scanned your Share you can then return to Explorer and "un-hide" your file. KeepVault will not protect this file, even now that it's not hidden, UNLESS the Share is deselected and re-selected for protection OR you alter the file

** Note: you can also do the same for an entire folder

  1. Run KeepVaultWHS.exe on any PC that has Windows Home Connector installed or run it on the Windows Home Server (WHS) itself ... the MSI install file will automatically be copied to your "Software\Add-ins" folder on your WHS

  3. Select "Keepvault for Windows Home Server" and press Install
  4. The WHS Console will automatically restart and the KeepVault tab will be added to your Console

How do I access my protected files with KeepVault?

KeepVault for Windows Home Server uses a private storage network accessible directly via the KeepVault add-in within the Windows Home Server Console. To access your protected files simply select the "KeepVault" tab on the top of the Console then select "Recover Files" followed by "Selective recovery" and press the Recover button. You will be able to select any of your files to restore back to your Windows Home Server.

Note, if you setup local protection to a hard drive then you can also access your files directly from the hard drive. Simply remove the hard drive from the WHS and connect it to your PC. Warning: you must keep the default settings for the local backup encryption=off and compression=off if you want to access these files directly from the hard drive. If you enabled compression or encryption for the local backup then you will only be able to access these files via the KeepVault tab within the WHS Console.

Does KeepVault delete files if I delete them locally from my Windows Home Server?

No. KeepVault never deletes files. If you delete a file from a WHS Share then the backup file will remain protected on your KeepVault store. The reverse is also true; if you delete a file from your KeepVault store then the file will not be deleted from your WHS Share.

Note, you can delete files from your keepvault store using the the Manage Protected Files feature which is located on the KeepVault tab within your WHS Console. Refer to this FAQ page for more details.

How can I verify which files have been protected?

You can verify your file protection history anytime using the View Protection History link on the KeepVault panel.

What file types does KeepVault protect?

KeepVault WHS protects all files in the WHS Shares and folders that you select except:

  • Files with Hidden or System attributes
  • Zero-byte files
  • Files/folders within a hidden folder
  • Files saved as Windows Compressed/Encrypted files

What if my network gets disconnected?

A - KeepVault will attempt to automatically re-connect to the KeepVault store. Based on network availability, you will be notified via your preferred email/sms/twitter setting (as setup in the KeepVault Settings page). An event will also be logged in the KeepVault event log.

KeepVault will automatically monitor your network connection via network DHCP action. Once KeepVault finds that your network is back online then it will continue to protect your files with no additional interaction on your part.

KeepVault will continue to watch for new/changed files even if your network goes offline. These files will be protected once your network connection comes back online.
